Who is responsible for your data
Stoke Graduate Homes is the controller of the personal data described in this policy, as defined by the UK GDPR and the Data Protection Act 2018.
You can reach us by email at Stokegraduatehomes@gmail.com or by phone or WhatsApp on 07459 607936.
What we collect
We keep this to what we need to answer you and arrange viewings.
- Enquiry details you give us: your name, email address, the home you are interested in, group size, preferred viewing date and any message you write.
- Messages you send us by email, phone or WhatsApp, including your phone number and what you tell us.
- Basic technical data when you visit, such as your IP address, browser type and the pages requested. Our hosting provider and the services that deliver images and maps process this to serve the site and keep it secure.
We do not ask you to create an account, we do not take payments on this website, and we do not use analytics or advertising trackers. Homes you save with the heart button are stored only in your own browser and are never sent to us.
How we use it
- To reply to your enquiry and arrange, confirm or change a viewing.
- To tell you about availability and prices for homes you ask about.
- To keep a record of our correspondence with you.
- To keep the website secure and working properly.
- If you go on to rent from us, to carry out the usual tenancy steps. We will explain what we need at that point and give you a separate notice.
We do not send marketing emails unless you ask us to, and we do not sell your information.
Our lawful bases
- Taking steps at your request before a tenancy (UK GDPR Article 6(1)(b)), for example arranging a viewing.
- Our legitimate interests in running a lettings business, answering enquiries and keeping records (Article 6(1)(f)). We have considered your interests and rights and do not think these are overridden.
- Legal obligations (Article 6(1)(c)), where the law requires us to keep or share information.
Who we share it with
We only share personal data with organisations that help us run the service, and only as far as they need it.
- Resend, which delivers the enquiry email from this website to us.
- Sanity, which hosts the listings content and photos. It does not receive information about visitors beyond ordinary technical data.
- Our website hosting provider.
- WhatsApp (Meta), if you choose to message us there. Your messages are then also handled under WhatsApp’s own privacy policy.
We may also disclose information where the law requires it, or to protect our rights, for example to the police or a court.
Transfers outside the UK
Some of these providers are based in, or process data in, countries outside the UK, including the United States. Where that happens we rely on an adequacy decision or on approved safeguards such as the UK International Data Transfer Addendum, so your data stays protected.
How long we keep it
- Enquiries that do not lead to a tenancy: up to 12 months after our last contact with you, then deleted.
- If you rent from us: tenancy and financial records for as long as the law and our accounting obligations require, usually six years after the tenancy ends.
Your rights
You can ask us at any time to:
- tell you what personal data we hold about you and give you a copy;
- correct anything that is wrong or out of date;
- delete your data, where we have no good reason to keep it;
- restrict how we use it, or object to us using it for our legitimate interests;
- give you your data in a portable format, where this applies.
You can reach us by email at Stokegraduatehomes@gmail.com or by phone or WhatsApp on 07459 607936. We will reply within one month. There is no charge, unless a request is clearly unfounded or excessive.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Security
Enquiries are sent over an encrypted (HTTPS) connection and only the people who need them can read them. No method of transmission over the internet is completely secure, so please do not include sensitive information such as bank or passport details in a message.
Children
This website is for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. See also our Cookie Policy.
